Reconcile offline collections across cash, cheque, POS, UPI, bank deposits, receipts, invoices, customer ledgers, branches, stores, field teams, and open items in one structured workflow.
View demo reportReconcile offline collections with receipts, ledgers, deposits, and bank records
Offline collections often happen through cash counters, stores, branches, field teams, cheques, POS terminals, UPI QR payments, and bank deposits. These records may not always match internal receipts, invoices, customer ledgers, or bank statements. Cointab helps bring these differences into a clear reconciliation report.
The Offline Collection Reconciliation template helps finance teams compare offline collection records with receipts, invoices, customer ledgers, bank deposits, cash deposits, cheque records, POS settlements, UPI collections, and accounting entries.
This helps finance teams answer questions such as:
- Which offline collections were recorded correctly?
- Which receipts are missing from the collection report?
- Which collections were deposited into the bank?
- Which bank credits do not have matching offline collection records?
- Which cash, cheque, POS, UPI, or branch collections are pending deposit?
- Which collections are linked to the correct customer, invoice, receipt, store, branch, or field executive?
- Which collections were duplicated, delayed, reversed, bounced, adjusted, or posted in another period?
- Which items need branch follow-up, customer follow-up, bank review, accounting correction, or internal approval?
This template is useful for finance teams, accounts receivable teams, retail businesses, education businesses, field collection teams, branch operations teams, controllers, CFOs, and accounting firms that need a repeatable offline collection reconciliation process.

An offline collection exists in the collection report but does not have a matching receipt record.
Receipt not found in collection report
A receipt is recorded internally, but the matching offline collection record is missing or unclear.

Cash collected at branch, store, counter, or field level does not match the deposited amount.

A cheque is recorded as collected but is pending clearing, bounced, reversed, or not deposited.
POS settlement mismatch
Offline card collection is recorded, but POS settlement amount, charges, or bank credit does not match.
UPI / QR mismatch
UPI or QR collection is recorded, but the matching bank credit, UTR, transaction ID, or receipt is missing or mismatched.
Duplicate collection
The same receipt, collection entry, cheque, UTR, POS transaction, or bank credit appears more than once.
Short collection
The amount collected or deposited is lower than the expected invoice, receipt, or collection amount.
Excess collection
The amount collected or deposited is higher than the expected invoice, receipt, or outstanding amount.
Timing difference
A collection belongs to one period but is deposited, cleared, settled, or posted in another period.
Wrong branch, store, or collector allocation
A collection is present but mapped to the wrong branch, store, outlet, field executive, route, customer, or ledger account.
Missing or unclear reference
Receipt number, invoice number, customer code, cheque number, UTR, POS transaction ID, branch code, collector ID, or bank narration is missing, incomplete, or inconsistent.

Structured matching first, AI assistance for difficult cases
Cointab applies structured reconciliation logic first, then uses AI to help with difficult open transactions where fixed rules are not enough.
Structured matching
Structured matching can use:
Matching scenarios
One-to-one
One offline collection record matches one receipt, bank credit, deposit entry, cheque, POS transaction, or UPI transaction.
One-to-many
One collection entry maps to multiple receipts, invoices, deposits, bank entries, deductions, or adjustment records.
Many-to-one
Multiple offline collections are grouped against one bank deposit, cash deposit, POS settlement, or collection batch.
Many-to-many
Multiple offline collection records and multiple bank, receipt, POS, UPI, or ledger records are grouped and compared together.
Partial matching
Identifiers match, but collection amount, receipt amount, bank credit amount, deposit amount, or adjustment amount differs.
Batch-level matching
Branch collections, store collections, collector-wise collections, cash deposit batches, POS settlement batches, and bank deposits are compared together where required.
Net and contra matching
Collections, refunds, reversals, bounced cheques, bank charges, POS charges, deductions, write-offs, and adjustments are netted where required.
AI-assisted transaction matching
After structured rules run, AI helps match difficult open transactions where:
- References are incomplete
- Bank narration is messy
- Customer names are written differently
- Receipt numbers or invoice numbers are formatted differently
- Cheque references are missing or inconsistent
- POS or UPI references appear inside long descriptions
- Multiple collections are grouped into one bank deposit
- One customer payment is split across multiple receipts
- Cash handover and bank deposit records are grouped differently
- Branch or collector descriptions are inconsistent
- Amounts require contextual review
- Multiple possible matches exist
AI exception analysis
For transactions that remain open, AI can help identify possible reasons such as:
AI assists matching and exception review, but Cointab keeps reconciliation transparent, reviewable, and audit-friendly.
