Intercompany reconciliation becomes complex when entities record the same transaction differently

In intercompany workflows, two related entities often record the same transaction from opposite sides. One entity may record a receivable, another may record a payable. Differences in timing, currency, tax, reference numbers, allocations, and period cut-offs can make manual reconciliation difficult.

Due-to and due-from balances may not agree

One entity may show an amount receivable while the other entity shows a different payable balance.

Intercompany invoices may be missing on one side

An invoice raised by one group entity may not be recorded by the receiving entity in the same period.

Payments may not be allocated correctly

One intercompany payment may settle multiple invoices, advances, loans, reimbursements, or recharges.

Timing differences affect period close

One entity may post an entry in the current month while the counterparty entity records it in the next period.

Currency differences create open items

Entities using different currencies may have exchange rate differences, translation differences, or revaluation entries.

Cost allocations and recharges are hard to trace

Shared costs, management fees, IT charges, payroll allocations, rent recharges, and other group expenses may be split across entities using different logic.

Eliminations need clean support

Group finance teams need clear intercompany matching before consolidation and elimination entries.

Excel becomes difficult across entities

Finance teams often compare ledgers from multiple ERPs, accounting systems, entities, currencies, and account codes using repeated VLOOKUPs, pivots, and manual checks.

Open items need clear ownership

Teams need to know whether the issue belongs to Entity A, Entity B, group finance, tax, treasury, accounting, or operations.

What is intercompany reconciliation?

Intercompany reconciliation is the process of matching transactions, balances, invoices, payments, loans, recharges, and adjustments between related entities within the same group.

For example, Entity A may record an intercompany receivable from Entity B. Entity B should record the corresponding payable to Entity A. If both sides use the same reference, amount, period, account, and currency logic, the transaction should match. If not, it becomes an intercompany exception.

Cointab helps bring these records together so your finance team can answer:

  • Which intercompany invoices are recorded by both entities?
  • Which invoices are missing on one side?
  • Which payments are recorded but not allocated?
  • Which due-to and due-from balances match?
  • Which balances differ because of timing, FX, tax, or posting differences?
  • Which recharges or cost allocations are not reflected correctly?
  • Which loan, advance, or settlement entries remain open?
  • Which elimination entries are supported by matched transaction data?
  • Which exceptions need follow-up with a specific entity or finance owner?

Bring together entity ledgers, intercompany invoices, payments, balances, and eliminations

Cointab can reconcile intercompany workflows using reports from ERP systems, accounting systems, entity ledgers, consolidation tools, bank data, and supporting finance files.

Find intercompany differences faster

Cointab helps finance teams separate clean intercompany matches from exceptions that need review before close, consolidation, audit, or reporting.

Invoice missing in receiving entity

The issuing entity records an intercompany invoice, but the receiving entity does not record the corresponding payable.

Invoice missing in issuing entity

The receiving entity records a payable or expense, but the issuing entity does not show the matching receivable or income entry.

Due-to and due-from mismatch

The balance payable by one entity does not match the balance receivable by the counterparty entity.

Payment not reflected

One entity records an intercompany payment, but the counterparty entity does not record the receipt.

Unallocated payment

A payment is present, but it is not clearly allocated to invoices, loans, advances, or recharges.

Timing difference

The same transaction is recorded in different periods by different entities.

Amount mismatch

The transaction reference matches, but the amount differs because of tax, FX, allocation, partial settlement, or adjustment.

Currency difference

The transaction amount differs because entities use different exchange rates, reporting currencies, or revaluation methods.

Tax or withholding difference

Tax, GST, VAT, withholding, or TDS treatment differs between the two entities.

Recharge mismatch

Shared costs or group recharges are recorded differently across entities.

Loan or advance mismatch

Intercompany loans, advances, repayments, or interest entries do not match between entities.

Duplicate intercompany entry

The same invoice, payment, loan, or journal entry appears more than once on one side.

Elimination mismatch

The intercompany balance does not support the elimination entry required for consolidation.

How Cointab automates intercompany reconciliation

Cointab gives finance teams a reusable workflow for preparing intercompany data, matching records, reviewing exceptions, and exporting reports.

01

Select or create the workflow

Start with an intercompany reconciliation template or build a custom workflow for your group entities, ERP exports, accounting ledgers, consolidation process, or internal reports.

02

Upload or automate data

Upload CSV, XLS, or XLSX files manually, or automate recurring data input through email, SFTP, or APIs.

03

Map required fields

Select date, amount, and identifier columns such as entity code, counterparty entity, account code, invoice number, journal number, payment reference, loan reference, settlement ID, or bank UTR.

04

Add supporting data

Use supporting files for entity mapping, account mapping, currency conversion, cost center mapping, allocation logic, tax treatment, opening balance treatment, or elimination logic.

05

Create derived columns

Use AI to create calculated fields such as normalized entity pair, clean invoice number, reporting currency amount, net intercompany balance, tax-adjusted amount, FX-adjusted amount, or combined matching reference.

06

Run reconciliation

Cointab applies structured matching logic across entity ledgers, intercompany invoices, payments, loans, advances, recharges, FX entries, balances, and elimination records.

07

Review exceptions

See fully matched, partially matched, unmatched, and skipped records, then drill into transaction-level details.

08

Download or automate output

Download Excel reports or push matched, unmatched, exception, or summary data back to ERP, accounting, consolidation, BI, analytics, or internal systems.

Match structured intercompany records with rules and difficult exceptions with AI

Cointab applies structured matching first, then uses AI to help with difficult open transactions where references are missing, entity names differ, amounts are split, or records are spread across multiple reports.

Structured matching

Cointab can match intercompany records using:

Entity codeCounterparty entity codeEntity pairAccount codeIntercompany accountInvoice numberJournal numberVoucher numberPayment referenceBank UTRLoan referenceRecharge referenceSettlement IDTransaction datePosting periodTransaction currencyReporting currencyDebit amountCredit amountNet balanceOpening balanceClosing balanceDerived columnsCombined identifiers

Matching scenarios

  • One-to-one

One intercompany invoice in Entity A matches one payable entry in Entity B.

  • One-to-many

One intercompany invoice maps to multiple payments, tax entries, recharges, or allocation records.

  • Many-to-one

Multiple intercompany invoices or balances are settled through one payment or journal entry.

  • Many-to-many

Multiple invoices, payments, loans, advances, recharges, and adjustments are grouped and compared together.

  • Partial matching

Entity pair or reference matches, but the amount differs because of tax, FX, timing, allocation, or partial settlement.

  • Contra / elimination matching

Receivables, payables, loans, advances, recharges, credit notes, debit notes, and elimination entries are netted against each other.

AI-assisted transaction matching

After structured rules run, AI helps match difficult open transactions where:

  • Entity names are written differently
  • Invoice numbers are formatted differently
  • References are missing, partial, or embedded in descriptions
  • One payment settles many intercompany items
  • Amounts differ because of FX or tax treatment
  • Cost allocations are grouped differently across entities
  • Loan and advance references are not consistent
  • Journal descriptions contain unstructured text
  • Opening balance items are carried forward from older periods
  • Multiple possible matches exist across ledgers, invoices, payments, and recharges

AI exception analysis

For transactions that remain open, AI can help identify possible reasons such as:

Invoice missing in one entityPayment not reflected by counterparty entityTiming differenceFX differenceTax or withholding differenceUnallocated paymentRecharge allocation differenceLoan or advance mismatchOpening balance issueDuplicate postingWrong entity mappingWrong account mappingElimination mismatchInternal posting issueCounterparty posting issue

AI assists reconciliation, but Cointab keeps the output transparent, reviewable, and audit-friendly.
