Cointab is used by finance and operations teams handling recurring reconciliation across loan records, payments, collections, banks, accounting systems, partners, and internal systems.
Loan transactions are difficult to reconcile manually
Lending businesses need to track money movement across loan management systems, borrower ledgers, disbursement files, repayment schedules, collection channels, bank accounts, accounting ledgers, and partner reports. Each system may show a different view of the same loan transaction.
Disbursements and bank entries may not match
A loan may be marked as disbursed in the LMS, but the bank statement may show a different amount, failed transfer, duplicate debit, delayed debit, or missing reference.
Repayments come through multiple channels
Borrowers may repay through NACH, UPI, payment gateways, bank transfer, collection agents, wallets, or internal collection systems. Each channel may provide a different report format.
EMI schedules and actual collections differ
Expected EMI amounts may not match actual repayments because of part payments, bounce charges, penalties, waivers, foreclosure, delayed payments, or allocation differences.
Borrower ledgers need regular validation
Finance teams need to compare loan-level balances, principal, interest, charges, waivers, refunds, overdue amounts, and closing balances with accounting and collection records.
Payment settlements create timing gaps
Collections may be received by a payment gateway or collection partner on one date and settled to the bank on another date.
Charges, waivers, and adjustments complicate matching
Processing fees, late fees, bounce charges, penalty interest, waivers, refunds, write-offs, and settlement adjustments may appear differently across systems.
Co-lending or partner reports add another layer
For lending partnerships, the lender, co-lender, partner, and internal system may each maintain separate loan, disbursement, repayment, and settlement records.
Excel becomes fragile as volume grows
Finance teams often compare LMS exports, repayment schedules, collection reports, NACH files, payment gateway reports, bank statements, and accounting ledgers using repeated VLOOKUPs, pivots, and filters.
Open items need clear action
Teams need to know whether a difference is due to missing disbursement, failed payment, delayed settlement, unallocated repayment, short collection, excess payment, charge mismatch, bank timing difference, or accounting entry issue.
What is loan reconciliation?
Loan reconciliation is the process of matching loan records, disbursements, repayments, EMI schedules, borrower ledgers, collection reports, bank statements, and accounting entries to confirm that loan transactions are recorded correctly across systems.
For example, your loan management system may show that a loan was disbursed to a borrower. The bank statement may show the actual debit. Later, the borrower may repay through NACH, UPI, payment gateway, or bank transfer. The collection report may show the payment status, the borrower ledger may show allocation against EMI, principal, interest, or charges, and the accounting system may show the final ledger entry.
Cointab helps bring these records together so your finance team can answer:
- Which loans were disbursed successfully?
- Which disbursements are missing from bank records?
- Which bank debits do not have matching LMS records?
- Which EMI payments were collected?
- Which repayments are missing, delayed, short, or excess?
- Which collections were received but not allocated to the borrower ledger?
- Which payment gateway or NACH settlements match bank credits?
- Which charges, waivers, refunds, or write-offs explain differences?
- Which borrower balances differ between LMS and accounting records?
- Which loan transactions need follow-up with the bank, payment partner, collection team, or internal operations team?
Bring together loan records, disbursements, repayments, ledgers, collections, and bank entries
Cointab can reconcile loan workflows using multiple reports from loan systems, collection platforms, banks, payment gateways, NACH systems, accounting systems, and partners.

| Bank statement | Final bank debit or credit, UTR/reference, value date, amount, narration |
| Repayment schedule | EMI due date, EMI amount, principal, interest, charges, outstanding balance |
| EMI collection report | Loan ID, EMI number, collected amount, collection date, payment status |
| Payment gateway report | Transaction ID, payment mode, payment status, fee, settlement reference |
| NACH / autopay report | Mandate ID, debit status, bounce reason, debit amount, debit date |

Users can start with LMS and bank reports, then add repayment schedules, collection files, payment gateway data, NACH reports, borrower ledgers, accounting records, partner files, or supporting reports as the workflow becomes more complete.
Find disbursement, repayment, EMI, and ledger differences faster
Cointab helps finance teams separate clean loan matches from exceptions that need review.
Loan marked disbursed but bank debit missing
The LMS shows a loan as disbursed, but the bank statement does not show a matching debit.
Bank debit found but LMS record missing
The bank statement shows a disbursement debit, but there is no matching loan record in the LMS.
Disbursement amount mismatch
The loan amount, net disbursed amount, processing fee, insurance deduction, or final bank debit does not match.
Duplicate disbursement
The same loan ID, borrower, bank reference, or payout appears more than once.
EMI due but not collected
The repayment schedule shows an EMI due, but no matching repayment is found.
Repayment received but not allocated
A borrower payment is found in collection, gateway, NACH, or bank data, but it is not allocated correctly in the borrower ledger.
Short repayment
The collected amount is lower than the expected EMI, outstanding amount, or scheduled repayment amount.
Excess repayment
The borrower has paid more than the expected amount, but the excess is not adjusted, refunded, or allocated correctly.
Failed or bounced payment mismatch
A NACH bounce, failed autopay debit, or failed payment gateway transaction does not match internal payment status.
Settlement delay
A repayment is collected by a payment partner but settled to the bank in a later period.
Charges or waiver mismatch
Late fees, bounce charges, penalty interest, processing fees, waivers, or reversals do not match across systems.
Principal and interest split mismatch
The total repayment may match, but the allocation between principal, interest, charges, or overdue components differs.
Foreclosure or part-payment mismatch
A part-payment, prepayment, closure, foreclosure, or settlement transaction is not reflected consistently across LMS, bank, and accounting records.
Borrower ledger balance mismatch
Opening balance, closing balance, principal outstanding, interest outstanding, or overdue amount differs between LMS and accounting records.
Co-lending share mismatch
Lender share, co-lender share, repayment share, interest share, or settlement amount differs between internal and partner reports.
Bank credit mismatch
Repayment settlement amounts do not match the final bank credit.

Match structured loan data with rules and difficult exceptions with AI
Cointab applies structured matching first, then uses AI to help with difficult open transactions where loan references, borrower details, settlement references, or bank narrations are missing, messy, or spread across multiple reports.
Structured matching
Cointab can match loan records using:
Matching scenarios
One-to-one
One loan disbursement, repayment, EMI, collection, or bank entry matches one corresponding record on the other side.
One-to-many
One loan maps to multiple EMIs, part payments, charges, waivers, repayments, or settlement entries.
Many-to-one
Multiple borrower repayments or loan collections are grouped into one payment gateway settlement, NACH batch, partner settlement, accounting entry, or bank credit.
Many-to-many
Multiple loan transactions and multiple collection, settlement, bank, accounting, or partner records are grouped and compared.
Partial matching
Loan ID, borrower ID, transaction ID, UTR, or settlement reference matches, but the amount differs because of charges, waivers, partial payment, failed payment, allocation difference, or timing difference.
Contra / adjustment matching
Refunds, reversals, waivers, write-offs, charge reversals, part payments, foreclosures, and settlement adjustments are netted against original loan, EMI, repayment, or ledger records.
AI-assisted transaction matching
After structured rules run, AI helps match difficult open transactions where:
- Loan IDs are incomplete or formatted differently
- Bank narrations contain embedded loan or borrower references
- Payment gateway references do not directly match LMS records
- NACH references are missing or inconsistent
- Borrower names are similar but not identical
- Partner loan IDs differ from internal loan IDs
- Collection agency reports use different borrower references
- Repayments are split across multiple channels
- Charges, waivers, and allocations are spread across files
- Multiple possible matches exist across LMS, collection, bank, and accounting reports
- Descriptions are unstructured or incomplete
AI exception analysis
For transactions that remain open, AI can help identify possible reasons such as:
AI assists reconciliation, but Cointab keeps the output transparent, reviewable, and audit-friendly.
